Position Summary:

The Member Engagement Coordinator works in collaboration with the Development team to create and implement strategies to achieve COCA’s annual budget goals.  The Member Engagement Coordinator supports all annual fund and Membership efforts. In collaboration with the Manager of Events, this position also assists with the creation of cultivation events, with a particular focus on individual, family, and alumni engagement.

  • Work with Director of Development to further evolve a growing grassroots and community-engaged fundraising program. Duties under this scope include, but are not limited to, the following:
    • Manage all channels of the appeal and communications calendar—direct mail, email, social media, telephone.
  • Draft member and prospect communications, including but not limited to appeals, emails, invitations, and acknowledgments.
  • Coordinate design and production of materials and communications with the Marketing Department.
  • Serve as a key point of contact for Members and Annual Fund donors.
  • Support efforts of the COCA Associates Board (CAB), including but not limited to the management of member terms, contact information, meeting minutes, and events.
  • Engage graduating and former COCA students in an effort to build life-long connections with COCA.
  • Collaborate with the Manager of Events and other team colleagues to coordinate events associated with fundraising, with an emphasis on cultivating individuals. Duties under this scope include, but are not limited to, the following:
    • Oversee Member Engagement calendar to ensure the delivery of all Member benefits.
      Coordinate logistics of Member events from conception to execution and serve as a resource for answering questions internally and externally.
    • Oversee production strategy, event layout, venue management, run of show and staffing.
      Support efforts to secure and steward sponsors and in-kind donors for Member events.
  • Positively represent COCA at meetings, events, and activities both inside and outside of COCA.
    Assist with the development and execution of major special events, including COCAcabana and FLAME, as needed.
  • Coordinating with the Development Systems Coordinator, manage key database functions in Tessitura primarily, plus Active Net when applicable:
    • Ensure member records are accurate and updated on a timely basis.
    • Create and maintain membership-related lists.
    • Update and maintain activity records (e.g. RSVPs, special requests) for Member events.
    • Track donor and prospect interests and affiliations.
  • Serve as back up for business-critical database functions for the Development Systems Coordinator.
  • Prepare information packets for prospect and donor meetings, as needed.
  • Other duties as assigned.

 

Education and/ or Qualifications:

Bachelor’s degree preferred.
Two (2) or more years of relatable experience required.
Proficient in Microsoft Office – Outlook, Excel, and Word.
Experience working with a donor database preferred.
Competencies: 

Strong Customer-service orientation, with excellent oral and written communication skills.
Ability to work effectively as a team member, but also able to work independently to see projects through to completion.
Demonstrated organizational skills, with a strong attention to detail.

Physical Demands & Work Environment:

This position frequently communicates with donors, vendors and teammates. Must be able to exchange accurate information in these situations.
This position frequently moves objects weighing up to 20 pounds for various even needs.
This person needs to move about the inside of the office and events. This requires the ability to sit and stand for long periods of time.
This position is essential to COCA events. This requires work hours during evenings and weekends, as applicable.
